Cataloging Art Collection, by johnnyh on Mar 27, 2014 10:41:40 GMT 1, Need to catalogue my Art collection wondering if anyone ha already done this. Is there an app or something already formatted that can do this as do not want to reinvent the wheel and make a load of daft mistakes and have to re do etc.
would just like something that includes a pic, artist, date, format value etc.
anyone who has something would be greatly appreciated.
Likewise any gallery owners/people how do you log your pieces would be really interested to hear either by thread, PM or please drop a line and will give you my emmail

There's a few good alternatives for web based solutions and what they all have in common is that if they are affordable then they are in their early stages and still a bit laggy. I ended up with using www.collectrium.com, and I quite happy with it.

Here I can upload invoices and keep them together with the piece online. There's all sorts of information you can put in there. I used to use a combination of Excel and Powerpoint it's cheaper but it's a pain in the ass to manage.

EB and Art Collectorz work well if all the works you own are editions but not so much when it comes down to originals. Collectrium seems to be top notch and extremely flexible but I find 390$ a year is a bit much. My personal collection definitely doesn't justify that!

So I finally took time last month to do mine on Google Drive

Absolutely and the fact EB let's you save it to PDF makes it even better - you do have to add some stuff (if you want it catalogued) but mainly originals or obscure variants
Have now added about 90% of my stuff - mine runs to 85 pages on a PDF so not something to let the missus stumble upon.....

I just started using collectrium and wanted to know if others were and what their thoughts were. i personally have been happy with it. If i understood the difference between the free version and the $39 version I may upgrade as my collection. It is indeed 1000% better than using excel and powerpoint.

To answer the second part of your question many museums and galleries in NYC use TMS (The Museum System) for collections management. It is a pretty good system (like all systems it has it flaws) but is pretty cost-prohibitive on the individual level.

Well worth looking at if your interested. I expect to upgrade later when at the limits etc.

I like it because I have about 15 different columns with various bits of info (artist, piece, dimensions, purchase price/date, last price I saw it sold/date, notes, original ie og estimate, etc). It's a good system for what I need, but I would like it if it would somehow add my photos of the actual art, along with receipt/coa PDFs. But I have jpg/PDF albums/files (backed up in multiple spots) and it's not really an issue to toggle between the 2 different sets of data. I rarely need to look at the coa/photos. The google doc drives it all. Its certainly coming in handy now as I'm considering the insurance side of it all.
