My Art Collection Management System, by Naor on Nov 5, 2021 16:11:09 GMT 1, Hi Everyone.
After not being able to find anything suitable to my needs in terms of an Art Collection Management system, I have decided to build my own based on AirTable. In high level, the management system enables tracking of:
- Artworks (owned, wishlist etc.)
- Artists
- Galleries
- Publishers
- Museums
- Auction Houses
- Auction Results (for specific artwork)
- Purchase Tracking (to track all bought works, provenance etc. etc.)
It became quite a complex system alltogether, measuring the total investment in art, gain/loss, tracking progress of artists and tracking the auction results to see how much the value of specific art pieces and the total collection might be.
Now, Why am I telling you all this? Simple, I want to share what I built with the UAA community. I will share the access to the structure and the list and anyone can copy the AirTable base to his own and build a tracker for himself.
What's the catch? There are none, the structure and content will be open sourced; however, there is one request.
One of the gains of collaborating on something like this is the ability to extend each others bases with public information that might be missing. In example, Currently in the base there are 50+ Artists, 10+ Galleries, 10+ Publishers etc. -> That is not covering 0.1% of the art world. If every person contributes as little as 5-10 records, we can get to the a good coverage that will help EVERYONE. Every added content to the main table will allow all members to copy / replicate their content to their own bases.
Do I need to share my own collection data? NO, the value add comes from the general information about artists, galleries etc. When you replicate the AirTable Base it will go to your own account that no one will have access to. nonetheless, with the forms I will put below you can add more information to the General list - and than copy it back to your base or sync between the two.
Can I help more?Yes!
If you are an art enthusiast and you would like to help author the table (approve new additions, fix mistakes / reconsile data etc.) - Contact me via DM and we take it from there.
If you are a developer, Please contact me via DM to discuss. I am starting to build automations to sync data into the AirTable base from various places but there is always room for more - in example parsing auction result documents and add them to the Auction Result Tracker.
Here is the a link for the Airtable Base (you can click "copy base" on the top to replicate to your account:
The Password: UAA-2021!
An example of how that looks for my collection:
