Your collection. Documentation/Insurance/Apps, by Ponyboy Curtis on Apr 13, 2020 11:09:47 GMT 1, Hi all
Trust we're all enjoying spending lots of time with our pretty pictures these days.
With time on my hands and a collection ranging from moderately impressive to compete shit, it's an opportunity for me to finally document my collection.
And surely there's a better way than an excel spread sheet these days?
I've got 300 or so pieces to go through so storing a photo, edition, artist, release date, comedy value, size etc. is what I'm looking to get down.
How do you do it? Any recommendations please? Ta all x

Your collection. Documentation/Insurance/Apps, by Momo on Apr 13, 2020 13:49:52 GMT 1, I use a combination of the Expressobeans and Artcollectorz websites. However I have a far smaller and assume cheaper collection to keep tabs on. But maybe that's of some help to some on the forum.

Your collection. Documentation/Insurance/Apps, by timl on Apr 13, 2020 15:11:41 GMT 1, I use an app called Recollector link
It is fairly inexpensive and works. It took some figuring out but I have managed to get it to log everything I am interested in. It runs local on your computer but has a phone app and can sync things through a service like Dropbox.

Your collection. Documentation/Insurance/Apps, by rogerwu99 on Apr 13, 2020 15:57:56 GMT 1, Myself and another that I've met on this board are working on a solution for this ... (surprised there isn't one out there yet) and it looks like Expressobeans is dying and Artcollectorz is incomplete ... curious Theories 123, why not cloud based? Something that we also want to do, especially for editions, is bring in most recent pricing to give you an idea of your portfolio's delta

In typical style, this Computer Numpty cant find it, but wasn't long ago, perhaps your searching ability better than mine.

Something that we also want to do, especially for editions, is bring in most recent pricing to give you an idea of your portfolio's delta I suppose it depends on the product. I recently signed up for Sortly as they had a testimonial from an artist with art in multiple galleries etc, absolutely terrible due to the lack of custom fields, how the artist used it is beyond me. But that was cloud based and I didn't mind that so much. I guess I'm slightly cautious about the idea of an art collection focussed product in the cloud, just seems like a perfect target although maybe that's just paranoia. The idea of it scraping data to improve the information for my collection would be nice.

Your collection. Documentation/Insurance/Apps, by jtk on Apr 13, 2020 20:56:57 GMT 1, I posted this in the other thread: There are a number of home/contents insurance apps that can do this. I started using one called HomeContent, which allows me to take a photo of items and input any additional details for each piece (price, description, etc.). You can also print out the report. It's very simple to use! Works great for artwork, as well as other valuable home items.

Your collection. Documentation/Insurance/Apps, by timl on Apr 13, 2020 21:18:24 GMT 1, rogerwu99 - One of the issues I had with a cloud / website based inventory is having the control of getting my data out of it. If they are not making money and keeping their product up is there a good way to get data backed up and reusable? At least with a local app I have an offline version I can always use. I also liked the flexibility I got from the app I choose. It would be nice to have the best of both world, something that leveraged the online DB of available works but kept my inventory local

It's a good point ... I know a lot of stock portfolios that make it hard to export so that you have to re-enter your data into new platform ...

Your collection. Documentation/Insurance/Apps, by timl on Apr 13, 2020 22:10:19 GMT 1, rogerwu99 - Exactly. I think there is a good probability that sites like that will not last long term. So in the event it is no longer maintained or that it fails all together, I would like to have my data. Even if it is just an export that is a CSV and a bunch of images zipped up. In the case of the app I mentioned above (recollector) it is just an XML file and a bunch of images in a folder. I could continue to use the app at least until it wasnt supported on a newer OS and then I still have the data its just a matter of finding somewhere new to put it.
Another thing I liked is the flexibility. I added some custom fields, got rid of the ones I didnt want etc. I dont have to share things publicly if I dont want to (easy enough to fix if you are developing something)

Your collection. Documentation/Insurance/Apps, by chichi carter on Apr 14, 2020 0:50:30 GMT 1, Personally, I made a template using 'Pages' on Mac. Pretty sure you can do the exact same thing with 'Word' on a PC. I used one of the basic templates which allows you to have text and pictures and modified it. I took some pictures, gathered the details and made individual files for every piece. Then I exported every file as a PDF and gathered them into a single 'master' PDF file of the whole collection. That's it, in a nutshell. The long version is that I put together a folder for every artist, and a sub-folder for every piece which contains the pics, and the related 'paper trail' (c.o.a.'s, invoices, receipts, etc.). The really long version is that I've made the inventory of my entire apartment. Tedious stuff but I've got way too much time on my hands at the moment and I've been meaning to assess the situation for a while. I thought I was over insured. Turns out I'm under insured. Since the start of 2020 I've been reading books on personal finance and estate planning. Got married in June last year, I need to renew my will... I decided to 'get my ducks in a row', 'hard core edition'. Now I just need to set an appointment with a notary and I will be all set to die in the tidiest way possible as far as my earthly possessions and my last wishes are concerned. Let's hope I live a long healthy life and that everything I just did will be somewhat useless. But if I do die, it'll be a breeze for those who need to wrap my shit up! I finished the inventory earlier today. I never want to do this again. I'll keep it up to date though, that'll be easy. I need to back up my computer immediately...
